Financial & Appointment Policy
PAYMENT
Herndon Animal Medical Center does not extend credit to our clients. Payment is due in full at the time that services are rendered unless otherwise agreed upon with Practice Management.
We accept cash, personal checks, Visa, Mastercard, Discover, American Express, and Care Credit as payment methods.
If you have any questions regarding payment for services, please feel free to talk with one of our staff members. If for some reason a balance accrues on your account, you must understand that you are responsible for any fees incurred.
ALL PROFESSIONAL FEES ARE DUE AT THE TIME SERVICES ARE RENDERED.
APPOINTMENT CANCELLATIONS & RESCHEDULING
Regular appointments require at least 24 hours' notice to cancel or reschedule; surgical appointments require at least 48 hours' notice. This allows us to offer the time to another patient in need.
Appointments cancelled without proper notice or missed entirely ("no-shows"), will incur a $50 fee for regular exams and a $100 fee for surgical appointments, due prior to rescheduling.
LATE ARRIVALS
To allow adequate time for your pet’s examination and care, we ask that you arrive on time for your scheduled appointment. Because appointments are scheduled for either 30 or 60 minutes, late arrivals can significantly reduce the time available for your pet’s care and disrupt scheduled care for other patients.
Except for surgical appointments, clients arriving more than 10 minutes after their scheduled appointment time will be considered a Late Arrival and will need to reschedule. A $50 late-arrival fee will apply, due prior to rescheduling.
EXCEPTIONS FOR EMERGENCIES MAY BE MADE AT PRACTICE MANAGEMENT'S DISCRETION.

NOTICE OF HOURS
The Board of Veterinary Medicine requires all animal hospitals to inform clients of any hours or days when continuous medical care is not available. This disclosure form must be read and signed by the owner before we can admit their pet(s) to the hospital and will become part of the permanent medical record.
The Herndon Animal Medical Center has business and medical staffing hours as follows:
Mon / Tues / Wed: 8:00 am to 7:00 pm
Thursday / Friday: 8:00 am to 6:00 pm
Weekends / Holidays: CLOSED
Therefore, this is to inform you that we have no in-house, on-duty, continuous medical staff care:
Overnight: From closing time to opening time at 8:00am
Holidays: From closing time before the holiday to opening time the day after the holiday at 8:00 am. For holidays falling on Monday, we will be closed from closing time on Friday to opening time on Tuesday morning at 8:00 am.
We do not have staff members here 24 hours a day. If your pet has an emergency or needs 24 hour care, we recommend:
